1. About this Privacy Policy

Clevsure respects the privacy and confidentiality of its users and the clients whose information they enter into the platform.

This Privacy Policy explains what information Clevsure collects, why it is used, who may access it, how permissions operate, and how information may be deleted.

Clevsure is operated by AWKCOM SARL (“Clevsure,” “we,” “us,” or “our”).

By creating an account or using Clevsure, you acknowledge the practices described in this Privacy Policy.

2. What Clevsure does

Clevsure is a calculation and administrative facilitation platform designed to help insurance agents and their teams perform their work more efficiently.

It allows authorised users to configure insurance companies, products, rates, premiums, and calculation rules; prepare indicative calculations; save offers; maintain related records; and generate PDF forms.

Clevsure is not an insurance company, insurance broker, underwriter, or insurance adviser. It does not make underwriting decisions, approve coverage, issue insurance policies, or guarantee that an insurance company will accept any calculation or request.

3. People whose information may be processed

Clevsure may process information relating to:

  • Insurance agents who hold the Main Account;
  • Team members registered under an agency;
  • Agent Managers and other authorised workspace users; and
  • Clients and other persons whose information is entered by an insurance agent.

Clients do not create Clevsure accounts. Their information is entered by the insurance agent or an authorised member of the agent’s team.

4. Clevsure’s privacy role

For account, subscription, security, and platform-usage information, Clevsure determines how and why the information is processed to operate, administer, protect, and improve the platform.

For client information, calculations, uploaded documents, insurance products, rates, and other Workspace Information, the Main Account Holder determines what information is entered and how it is used.

The Main Account Holder is responsible for the relationship with the client and for ensuring that client information is collected, entered, used, retained, and shared lawfully.

Clevsure processes Workspace Information only to provide the platform’s functions to the relevant Main Account Holder and authorised users.

5. Account information we collect

Google sign-in information

When a person registers or signs in using Google, Clevsure receives and stores:

  • The Google email address;
  • The name displayed by Google;
  • A link to the Google profile picture; and
  • The account identifier provided through Google sign-in.

Google is used only for authentication and identity verification. Clevsure does not receive or store the user’s Google password.

Each Clevsure account must use a Google email address, and only an active account may sign in. Anonymous access to private workspaces is not permitted.

Agent profile information

Clevsure may collect the following information about an agent or Main Account Holder:

  • Full name;
  • Date of birth;
  • Gender;
  • Nationality;
  • Country of operation;
  • Agent type;
  • Agency or company name;
  • Phone number;
  • Contact email address;
  • Business address;
  • Website; and
  • An optional company logo.

Team-member information

A Main Account Holder may register or invite team members and provide:

  • Full name;
  • Email address;
  • Phone number;
  • Date of birth;
  • Gender;
  • Nationality;
  • Address;
  • Assigned role;
  • Assigned permissions; and
  • The manager or person to whom the team member reports.

6. Client and calculation information

Insurance agents and their authorised team members may enter information about clients and other persons involved in an insurance case.

Depending on the product and calculation, this may include:

  • Client name;
  • Names of other persons involved in the case;
  • Age, date of birth, or age bracket;
  • Gender and nationality;
  • Travel dates and destinations;
  • Vehicle details;
  • Medical, life, motor, travel, expatriate, or other cover selections;
  • Family-member information, including principal member, spouse, and children;
  • Premiums, rates, and calculation results;
  • Notes intended for the client;
  • Internal notes;
  • Uploaded documents and pictures;
  • Saved offer or PDF content; and
  • Offer status, such as pending, accepted, or rejected.

Depending on what the agent enters, this information may contain confidential or sensitive personal information. Users must enter only information reasonably necessary for the relevant insurance-related purpose.

7. Products and rates

Users may configure the companies with which they work and may enter:

  • Product names and categories;
  • Rates and premiums;
  • Age or other rating brackets;
  • Calculation methods;
  • Coverage options;
  • Product rules and parameters; and
  • Other non-personal product information.

This information is kept within the relevant agency workspace.

Clevsure does not use an agency’s products, rates, premiums, formulas, or calculation rules for advertising, resale, or its own commercial activities. Agency-configured rates and calculation rules are not displayed or accessible through the normal platform-administration area.

Clevsure does not verify the accuracy, validity, ownership, or continued applicability of rates or product rules entered by users.

8. Technical, security, and usage information

Clevsure collects limited information required to operate and protect user accounts, including:

  • Sign-in count;
  • Last sign-in date and time;
  • A randomly generated active-device record;
  • Account and subscription status;
  • Records of actions performed within the platform;
  • The identity and email address of the person performing an action; and
  • The date and time of relevant actions.

The active-device record is used to enforce one active device per account. When an account signs in on a newer device, the previous active session may be signed out.

The device record is a random platform-generated stamp. Clevsure does not use device fingerprinting to identify or track users across unrelated websites or services.

Activity records may include status changes, deletions, team actions, permission changes, and administrative actions. These records help maintain security, accountability, and proper platform operation.

Clevsure may also receive standard technical or security logs generated by its hosting and database infrastructure.

9. Contact, suggestion, and system messages

When a user submits a Contact Us or Suggestion form, Clevsure stores the information provided in the message.

This may include:

  • Sender or recipient;
  • Subject;
  • Message body;
  • Submission date; and
  • Related account information.

Clevsure uses an external email-delivery service, with a verified sending domain (notify.clevsure.com), to deliver messages sent through the platform.

Messages submitted through the Contact Us or Suggestion forms are delivered as emails to Clevsure’s contact address (contact@clevsure.com). System notices, including team invitations and welcome messages, are also delivered by email.

Users should not include client documents, unnecessary personal information, or confidential client details in Contact Us or Suggestion messages.

10. Subscription and payment information

All subscription payments for Clevsure are processed by Paddle (Paddle Payments Limited / Paddle.com Inc.), our Merchant of Record.

What Paddle processes

When you subscribe or renew:

  • Paddle securely collects and processes your payment card details, billing address, country, tax identifiers, and transaction metadata through the Paddle checkout overlay; and
  • Paddle handles fraud screening, global tax calculation, invoicing, and payment settlement as the legal seller, under Paddle’s own privacy terms (paddle.com/legal/privacy).

What Clevsure does not collect

Clevsure never collects, processes, or stores payment card numbers, card security codes (CVV/CVC), or full card credentials on its servers.

What Clevsure receives and stores

To manage your subscription access and provide billing records, Clevsure receives and stores transaction confirmation data from Paddle, including:

  • Paddle transaction ID and order reference;
  • Billed amount and currency;
  • Payment method type (for example, card or wire);
  • Payment status (for example, settled or refunded);
  • Subscription period start and expiry dates;
  • Direct links to Paddle-hosted receipts and invoices; and
  • Related workspace and account identifiers.

11. How we use information

Clevsure may use account, subscription, technical, and usage information to:

  • Register and authenticate users;
  • Maintain account and agency profiles;
  • Manage team roles and permissions;
  • Apply the one-active-device restriction;
  • Manage subscriptions and payment records;
  • Operate, maintain, and secure the platform;
  • Prevent unauthorised access, misuse, and fraud;
  • Maintain activity and audit records;
  • Provide customer support;
  • Measure general platform usage;
  • Prepare account-level and aggregate usage reports;
  • Communicate important account or platform information;
  • Investigate technical or security incidents; and
  • Comply with applicable laws and lawful requests.

Usage reports may show the number of accounts, sign-ins, calculations, or other general activity totals. They do not display calculation amounts or the contents of client calculations, uploaded documents, agency-configured rates, or calculation rules.

Clevsure does not sell or rent personal information.

Clevsure does not use client information for advertising, profiling, or training public artificial-intelligence models.

12. Agency separation and permissions

Each agency workspace is separated from every other agency workspace through database-level access controls.

An agency and its users can access only the companies, products, rates, calculations, and documents belonging to that agency. Users of one agency cannot access the private Workspace Information of another agency.

Within an agency:

  • The Main Account Holder manages team access and permissions;
  • By default, a team member can access only their own work;
  • A team member may be permitted to use the calculator or manage products and rates;
  • A team member may be permitted to view all agency calculations, calculations belonging to their assigned team, or only their own calculations; and
  • An Agent Manager may view work belonging to team members assigned under that manager.

The Main Account Holder is responsible for granting appropriate permissions, reviewing them regularly, and removing access when a team member changes role or leaves the agency.

13. Platform administration and usage reports

To manage accounts, subscriptions, and the general operation of Clevsure, authorised platform administrators can access a limited administrative report.

The report may include:

  • Agency, Main Account Holder, and team-member names;
  • User and agency email addresses;
  • User type or role;
  • Country and account status;
  • Subscription status, start date, renewal status, and expiry date;
  • Number of team members;
  • Number of account sign-ins;
  • General product categories used for reporting; and
  • Number of calculations recorded.

The report may be used for legitimate platform administration, subscription management, support, and general usage monitoring.

This report does not provide access to calculation amounts, client names or details, uploaded documents or pictures, individual calculation inputs, internal or client notes, generated PDFs, or an agency’s confidential products, rates, and calculation rules.

Private workspace content remains protected by the agency and user-permission controls described in this Privacy Policy.

14. Uploaded documents and pictures

Documents and pictures uploaded in connection with a calculation or offer are stored in private file storage and linked to the relevant calculation.

They are accessible only according to the owning agency’s permissions and database access controls.

Uploaded documents may be used within the user’s browser to assemble a PDF or other requested form. The PDF-generation process does not make those documents available to other agencies.

Clevsure is not intended to serve as a permanent document-archiving service. Users are responsible for keeping their own copies of documents they are legally or professionally required to retain.

15. Generated PDFs and shared documents

PDFs generated through Clevsure are assembled using information, parameters, and documents provided or selected by the user.

Before using or sharing a generated PDF, the user is solely responsible for:

  • Reviewing its accuracy and completeness;
  • Confirming that the correct information is included;
  • Correcting errors or missing information;
  • Confirming that the user has authority to use and share the information;
  • Selecting the correct recipient; and
  • Using an appropriate and secure sharing method.

Clevsure does not review, verify, approve, or endorse uploaded documents, user-entered information, generated calculations, or PDFs.

Once a PDF is downloaded, exported, or shared by a user, Clevsure has no control over its recipients, further distribution, modification, storage, or use.

Clevsure provides indicative results only. All final quotations, underwriting decisions, and coverage confirmations are subject to the insurance company's assessment and approval.

Generated calculations and PDFs do not constitute an official insurance quotation, underwriting decision, confirmation of coverage, insurance contract, policy, or acceptance by an insurance company.

To the fullest extent permitted by applicable law, Clevsure is not responsible for claims, losses, disclosures, errors, rejections, damages, or other consequences resulting from:

  • Information or documents entered or uploaded by a user;
  • Inaccurate, incomplete, outdated, or unauthorised user input;
  • A generated calculation, form, or PDF;
  • A user’s failure to review a document before using it;
  • Downloading, exporting, or sharing a document;
  • Sending information to an incorrect or unauthorised recipient; or
  • Reliance on an indicative result or generated document.

16. User responsibilities

The Main Account Holder and each authorised user are responsible for:

  • Having a lawful reason to collect and process client information;
  • Providing any required privacy notice to clients;
  • Obtaining any consent or authority required by applicable law;
  • Entering only information necessary for the intended insurance-related purpose;
  • Ensuring that entered information is accurate and appropriately used;
  • Protecting the confidentiality of client information;
  • Applying appropriate team permissions;
  • Protecting their Google account, device, and Clevsure access;
  • Reviewing calculations and documents before using or sharing them; and
  • Complying with applicable privacy, insurance, confidentiality, and professional obligations.

The availability of a field, upload function, or PDF feature does not mean that Clevsure has determined that particular information may lawfully be collected, stored, or shared.

17. Data retention and deletion

Clevsure does not currently apply automatic time-based deletion to saved calculations, offers, or attached documents.

Marking an offer as expired does not automatically delete the calculation or its attached documents. Information remains stored until it is deleted through an available account function or the relevant agency account is deleted.

A Main Account Holder may:

  • Delete their agency account;
  • Delete a team-member account; and
  • Delete saved calculations through the available platform functions.

Account deletion requires confirmation before it is processed.

Deleting a team member also deletes that team member’s saved calculations and attached documents.

Deleting an agency account deletes information belonging to that agency from the active platform, including:

  • Agency members;
  • Companies configured by the agency;
  • Products and rates;
  • Saved calculations and offers;
  • Uploaded documents;
  • Subscription and payment records; and
  • Related activity records.

Activity and message records cannot be edited or deleted from inside the platform by ordinary users. A user may contact Clevsure regarding an appropriate privacy or deletion request.

Contact Us and Suggestion messages may be retained for support, security, record-keeping, dispute-resolution, or legal purposes.

Deletion from the active application may not immediately remove information from routine infrastructure backups. Backup copies remain protected and are removed according to the hosting provider’s backup and deletion cycle.

Certain information may be retained where required by law or reasonably necessary to prevent fraud, investigate misuse, resolve disputes, or establish, exercise, or defend legal claims.

18. Third-party services

Clevsure currently uses:

  • Google, for account sign-in and identity verification;
  • Paddle, as our Merchant of Record and payment processor, to securely handle checkouts, tax calculation, billing receipts, and payment settlements;
  • A transactional email-delivery service, with a verified sending domain (notify.clevsure.com), for system notices, team invitations, and messages submitted through Contact Us and Suggestion forms; and
  • Clevsure’s hosting and database provider, for operating the application, database, authentication services, and private file storage.

These providers may process information as necessary to provide their services and may apply their own privacy and security terms.

Clevsure does not currently use:

  • Third-party advertising services; or
  • Artificial-intelligence services to process client information.

This Privacy Policy will be updated where appropriate before material new categories of third-party processing are introduced.

Clevsure may disclose information where required by law, court order, or a valid governmental request, or where reasonably necessary to protect the platform, its users, or others against fraud, misuse, or security threats.

19. Cookies and essential browser storage

Clevsure and Google sign-in may use essential cookies or similar browser-storage technologies to:

  • Authenticate users;
  • Maintain secure sessions;
  • Remember necessary account settings;
  • Apply the active-device restriction; and
  • Protect the platform against unauthorised access.

Clevsure does not currently use advertising cookies or third-party behavioural tracking.

20. Security

Clevsure uses technical and organisational measures designed to protect information against unauthorised access, loss, alteration, disclosure, or destruction.

These measures include:

  • Google-based authentication;
  • Active-account requirements;
  • One active-device record per account;
  • Database-level agency separation;
  • Role-based permissions;
  • Private document storage; and
  • Activity records.

No online service or electronic storage system can guarantee absolute security. Users are responsible for protecting their Google accounts, devices, login sessions, and access to their agency workspace.

If Clevsure becomes aware of a security incident affecting personal information, it will investigate and take appropriate action, including providing notifications where required by applicable law.

21. Privacy rights and requests

Subject to applicable law, a registered user may request to:

  • Access personal information held about them;
  • Correct inaccurate or incomplete account information;
  • Delete information where there is no lawful reason to retain it;
  • Object to or restrict certain processing;
  • Withdraw consent where processing depends on consent; or
  • Close their account.

Clevsure may need to verify the identity and authority of the person making a request before taking action.

Because the insurance agent controls the client relationship and decides what client information is entered, a client should normally direct a privacy request to the relevant insurance agent or agency.

Where legally required and technically possible, Clevsure will reasonably assist the Main Account Holder in responding to a valid client request.

22. International processing

Clevsure’s hosting, database, authentication, or infrastructure providers may process or store information in countries other than the user’s country.

Where required by applicable law, reasonable contractual, organisational, or technical safeguards will be used to protect information during such processing.

23. Children

Clevsure accounts are intended for insurance professionals and authorised business users. Children may not create Clevsure accounts.

An insurance agent may enter information concerning a minor only where it is necessary for a legitimate insurance-related purpose and the agent has the required legal authority or consent.

24. Changes to this Privacy Policy

Clevsure may update this Privacy Policy to reflect changes to the platform, third-party providers, legal requirements, or data-handling practices.

The updated version will be published with a revised “Last updated” date.

Where a change materially affects how personal information is collected, accessed, used, or shared, Clevsure may provide additional notice through the platform.

25. Contact

Privacy questions, concerns, and requests may be submitted through the Contact Us page.
